Health Care Appointment Scheduler Specialist - Call Center (Day or Night)

Responsibilities

Schedule, confirm, reschedule, and cancel patient appointments accurately for day or night coverage.

Answer incoming calls and messages in a warm, professional manner while assisting patients with scheduling needs.

Maintain and update patient demographic, insurance, and contact information in scheduling systems.

Coordinate with providers, nurses, and clinic staff to align appointment availability and special scheduling requests.

Document patient interactions, appointment changes, and relevant notes clearly and accurately.

Follow privacy, confidentiality, and organizational procedures when handling patient information.

Escalate urgent concerns, complex scheduling issues, or patient service matters to the appropriate team members.

Requirements

High school diploma or equivalent required; additional administrative or health care training is a plus.

Previous experience in appointment scheduling, medical office support, call center work, or customer service preferred.

Strong verbal and written communication skills with a friendly and patient-focused approach.

Ability to use scheduling software, electronic records systems, and standard office applications accurately.

Excellent organizational skills and attention to detail in a fast-paced environment.

Ability to work day or night shifts reliably, including weekends or holidays if needed.

Understanding of patient confidentiality standards and professionalism in handling sensitive information.
