We are currently seeking a Commercial Real Estate Specialist to support attorneys and paralegals in handling a wide range of responsibilities for commercial mortgage loan transactions. The ideal candidate brings strong organizational skills, sound judgment, and the ability to manage multiple priorities while ensuring accuracy, professionalism, and exceptional client service.
Responsibilities
- Work with clients, title companies, borrowers, borrower’s counsel, and other third parties to close commercial mortgage loan transactions, as well as loan modifications and purchase/sale and assignment of loans.
- Assist paralegals and attorneys with legal due diligence items and update legal closing checklists.
- Organize and maintain loan files, due diligence items, loan documents and legal closing checklists.
- Prepare, coordinate and track the transmission and receipt of signature pages from various parties to the transaction. Review executed signature pages for each loan transaction.
- Prepare ancillary loan documents, modification and assignment documents, UCC Financing Statements, exhibits to loan documents and escrow instruction letters addressing delivery of documents and disbursement of funds.
- Research property taxes to determine payment status.
- Draft and maintain open items list in preparation of loan closing.
- Collect, maintain and transmit invoices for loan closing.
- Assemble original loan documents for closing; confirm receipt of all required closing items to support funding authorization; review and approve closing statements; and prepare closing binders.
- Handle post-closing distribution of documents, including emailing loan documents to all parties, uploading documents to electronic share files, and sending original files to client and/or loan document custodian.
- Assist with post-closing distribution of loan title insurance policies and recorded/filed documents, as well as other documentation delivered to the client after closing.
- Accurately record time worked and enter time and description into time and billing system.
Requirements
- A Bachelor’s Degree is preferred.
- Minimum 1 year of relevant experience.
- Strong attention to detail and ability to adapt to changing priorities.
- Organizational skills to work independently and meet deadlines in fast-paced, team-oriented environment.
- Ability to work collaboratively and cooperatively with attorneys and business professionals.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Ability to proofread typed material for contextual, grammatical, typographical or spelling errors.
- Interpersonal skills necessary in order to communicate in person, by e-mail and telephone and follow the instruction effectively from a diverse group of clients, attorneys and business professionals and provide information with ordinary courtesy and tact.
- Analytical and critical thinking skills sufficient to make decisions regarding daily work.
- Time management skills to handle multiple tasks efficiently and accurately.
- Ability to take initiative to accomplish tasks / objectives in a timely manner with minimal supervision.
- Ability to effectively and efficiently utilize office technology and programs upon completion of training.
- Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
